What Is a Waste Transfer Note, and Why You Should Always Get One

A Waste Transfer Note is a record that shows your waste was handed to a registered waste carrier. It lists who took the waste, what it was, how much there was and where it was going. If you ever need to prove you disposed of your rubbish properly, this is the document that does it.
Why it matters to you
In England, everyone has a legal duty of care for their waste, including households. That means taking reasonable steps to make sure whoever takes your rubbish is allowed to. If you hand waste to an unlicensed collector and it ends up fly-tipped, it can be traced back to you, and householders can be given a fixed penalty of up to £600. Businesses can face larger fines.
A Waste Transfer Note from a registered carrier is your evidence that you did the right thing.
What a Waste Transfer Note shows
- The name and waste carrier registration number of the company that collected it
- A description of the waste and roughly how much there was
- The date and place of collection
- Where the waste was taken
Businesses must keep their Waste Transfer Notes for at least two years. For households it is not a legal requirement to keep one, but it is sensible to hold on to it.
How to check a waste carrier before you book
Every business that carries waste has to be registered with the Environment Agency. You can check a registration number on the Environment Agency’s public register of waste carriers. It takes a minute and it is free.
Be wary of anyone who:
- cannot give you a registration number
- will only take cash with no paperwork
- quotes a price far below everyone else
- turns up in an unmarked vehicle and is vague about where your waste is going
